How to Choose the Right ERP for a Growing SME

Most ERP evaluation checklists focus on features. The real question is whether the system fits how your team actually works—approvals, hand-offs, and all.

The feature list trap

When evaluating ERP software, it's tempting to compare feature lists. Does it have payroll? Expense claims? eInvoice? Most modern platforms check those boxes.

The harder question is: does work move smoothly between those features? A checklist of modules says nothing about whether an expense claim approved on Monday actually posts to the ledger by Tuesday—without someone chasing three people over chat.

What "workflow-first" actually means

A workflow-first ERP treats approvals, routing, and scheduling as first-class citizens, not afterthoughts. When an employee submits a leave request, the system already knows: - Who approves based on org structure - Whether coverage thresholds are met - When to escalate if no response comes

This removes the most common friction point in growing SMEs: the hand-off. Someone submits. Someone else has to notice. A third person has to record the outcome. In a workflow-first system, these steps are automated—with a full audit trail.

Five questions to ask any ERP vendor

1. Can approvals branch based on business rules? (e.g. expenses over S$500 require a second approver) 2. Is there a scheduler for recurring steps? (payroll processing, invoice dispatch, statement sends) 3. Does the mobile app support both capture and approval? Not just viewing—acting. 4. How long does a typical deployment take for a 20-person team? 5. Is the data yours if you leave? Export formats, data portability, and migration support matter.

Starting small vs starting right

Many SMEs pick the cheapest option first, then migrate when they outgrow it. Migration is painful—chart of accounts, employee records, historical data, approval routing all need to transfer cleanly.

A better framing: start with a system you can grow into, not one you will grow out of. Most modern cloud ERP platforms have tiered pricing that scales with team size. The operational debt of switching at 30 people is far higher than paying S$200/month more at 10.

The compliance factor in Southeast Asia

For Singapore-registered companies, PDPA compliance and Accounting and Corporate Regulatory Authority (ACRA) requirements shape what your ERP must handle. eInvoice readiness, proper journal entry trails, and PDPA-aligned data handling are table stakes—not nice-to-haves.
